At Showlight & Power, we respect your privacy and are committed to protecting your personal

and business information. This page explains, in plain English, how we handle your information

— followed by the full Coast Group Privacy Policy, which applies to Show Light and Power

Limited and all Coast Group brands.


The essentials:

● We collect only what we need — contact and account details, and the information

required to deliver your event or project.

● We never sell, rent or trade your personal information.

● We only share information with trusted providers where needed to deliver our services,

and we protect it with appropriate security measures.

The full policy below sets out how we collect, use, store and protect personal information.



Coast Group Privacy Policy


Coast Group Limited and its subsidiaries including Displayworks Limited, Show Light and Power

Limited, Exhibition Hire Services Limited, Carlton Events Hire Limited, Carlton Party Hire Limited

and Carpet & Rug Hire (Coast or we/us) is a supplier and lessor of goods and provider of related

services to its customers (together, Services).


This Privacy Policy applies to users of the Services and any other user that participates in any

form of the Services. A user interacts with Coast in different ways, including our websites,

including coastgroup.co.nz and the websites of our subsidiary brands displayworks.co.nz,

showlight.co.nz, exhibitionhire.co.nz, carltonevents.co.nz, carltonpartyhire.co.nz and

carpethire.co.nz (together, the Website), and any other application or registration form, including

our terms and conditions of trade (together the System).


This Privacy Policy is used to inform you of Coast's policies relating to the use, collection and

disclosure of personal information when you use the Services or the System. It also provides for

the rights customers and users have in respect of their personal information. Personal

Information is information about an identifiable individual that you supply to us or that you

consent to us obtaining from third parties in the course of receiving the Services or using the

System and includes any general user information we may collect such as users internet protocol

addresses, browser type and internet service provider details and other technical information

when you visit our Website.


By using the Services, you agree to be bound by the terms of our then current privacy policy

(Privacy Policy). Coast reserves the right, at any time, to modify or replace the Privacy Policy.

The most recent version of the Privacy Policy is available on our Website. Where there is a

material change to our Privacy Policy, we will take reasonable steps to notify you in writing and

obtain your consent where required. Your use of the Services following notification of any

material changes and the posting of any changes to the Privacy Policy constitutes acceptance of

those changes.


By accessing the Website and Services or interacting with the System you consent to Coast

collecting, using and disclosing any personal information about you that is provided by you or

provided by a third party with your consent in accordance with this Privacy Policy.



Collection of personal information


The nature of the Services requires that individuals using the Services disclose to Coast certain

personal information relating to them.


The type of personal information we collect, use or store about you may include, but is not limited

to:


● Your name, address, the address of any other location where any of our goods may be

located while in your possession, phone number, email address, credit checking

information, proof of identification, purchase, billing and shipping information, payment

data such as your credit or debit card number and other card information and other

account authentication information, and interactions with Coast;

● Driver licence and details of any qualifications you may hold where that is reasonably

required to enable us to provide the Services (for example, where you hire equipment

that requires a licence or qualification to operate). We only collect these details where the

Services genuinely require them, and we do not use your driver licence number as our

own identifier for you;

● System usage information including answers to questionnaires, responses clicked and

features used;

● Any other personal information that is reasonably required by Coast to perform its

Services.


You have no obligation to provide Coast with any personal information that is requested by us.

However, if you choose not to provide us with such information, we may be unable to provide you

with the full benefit of our Services.



How we collect your personal information


We collect your personal information in the following ways:


● When we receive information you provide, including by telephone, account application

forms, email or via our Website

● When we collect information publicly available on the internet - including public websites,

social media platforms, networking sites or directories.

● When personal information is provided to us from a third party, including referrals,

business partners, event organisers and publicly available sources.

● When we collect tracking information collected using cookies; and

● When we verify identity and other information provided by you.



Information collected indirectly


In some circumstances, Coast Group may collect personal information about you from a source

other than directly from you. This may include publicly available websites, social media platforms,

public networking sites, referrals, event registrations, business partners, marketing providers or

other third parties.

When we collect personal information from an indirect source, we will as soon as reasonably

practicable take reasonable steps to notify you of:

● The fact your information has been collected;

● The purpose for which your information was collected

● The intended recipients of that information

● The organisation that has collected and is holding that information;

● Your right to access, and request correction of, that information;

● If the data was collected in order to comply with any law in New Zealand, the particular

law by or under which the collection of the information is authorised or required; and

● Any other information that the Privacy Act 2020 may require.


This notification may be provided to you directly by phone, email, letter or text message, or by a

notice on our Website.



Purpose of collection of your personal information


We only collect personal information to the extent we consider necessary for the purposes of

providing the Services, including to assess credit worthiness, to facilitate supply of goods, to

assist and provide proper delivery of goods and other services, for warranty purposes, to arrange

or process payments, for our promotional, marketing and/or Service improvement purposes, for

account administration and identity verification, to register and maintain financing statements on

the Personal Property Securities Register, to provide customer support and respond to enquiries,

for analytics to improve our business and services, and for security purposes; or required for

compliance with a legal obligation to which we are subject.



Using your personal information


We understand the importance of using your personal information in a responsible and secure

manner. Your personal information may only be used by Coast for the following purposes, or

otherwise as permitted by the Privacy Act 2020:


● to contact you, or your referees;

● to identify you and for the operation and maintenance of your Coast account;

● to enable us to adequately provide and operate the Services to you;

● dealing with any requests, enquiries, complaints, technical and applications support by

you and providing any other customer services to you;

● to communicate with you regarding products and Services that may be relevant to your

business;

● to analyse information about our users, diagnose problems, analyse trends, improve the

features and usability of the Services and better understand and market our business to

our customers and users, and to improve our content and Services;

● to keep you informed about the Services, features and offers we think you may find

useful or which you have requested from us, to better understand your needs or to sell or

market additional Services to you that we believe may be of interest to you based on your

history of engagement with Coast;

● to register a financing statement within the meaning of the Personal Property Securities

Act 1999 (PPSA) where your possession or use of any goods supplied, hired, leased or

bailed by Coast gives rise to, or may give rise to, a security interest, including a deemed

security interest under the PPSA;

● to comply with any legal, government or regulatory obligation;

● to keep any goods safe and secure.


We may use your personal information for other purposes which are directly related to those

above, as would reasonably be expected by you, or otherwise in accordance with the Privacy Act

2020.


You can opt out of receiving marketing communications from us at any time by using the

unsubscribe facility included in our electronic marketing messages, or by contacting our Privacy

Officer at privacy@coastgroup.co.nz. We will action opt-out requests promptly. Opting out of

marketing will not affect Service-related communications that we need to send you, such as

invoices, delivery confirmations or safety notices.



Storage, security, retention and sharing of personal information


We use reasonable technical, administrative and physical security measures designed to

safeguard and help prevent unauthorised access to your personal information we collect. We will

retain your personal information as long as it is necessary to fulfil the purposes for which it was

collected, unless a longer retention period is required or permitted by law. For example, we retain

customer account and transaction records for at least seven years to meet our record-keeping

obligations under tax and companies legislation. When personal information is no longer

required, we will take reasonable steps to securely delete or de-identify it. We will also take

reasonable steps to ensure that the personal information we hold is accurate, complete, up to

date and not misleading before we use or disclose it.


We do not sell, rent or trade your personal information. We may disclose your personal

information to reputable third party providers both within and outside of New Zealand that work

with us to provide our Services (whether by facilitating, providing on our behalf, providing Service

related services or analysing how our Services are used), or help us to market to customers. This

may include (but is not limited to) website service providers, credit agencies for assessment of

creditworthiness and manufacturers, for product specifications and warranty purposes. We will

only disclose your personal information to the extent necessary for the purpose for which the

disclosure is made, and to third parties that have comparable privacy safeguards in place or are

contractually bound to Coast to protect your personal information.



Overseas disclosure


We will only disclose your personal information to a third party located outside of New Zealand

where the Privacy Act 2020 permits us to do so. For example, this may be where we believe on

reasonable grounds that the recipient is subject to privacy laws that, overall, provide comparable

safeguards to those in the Privacy Act 2020, or is contractually required by us to protect your

personal information to a comparable standard, or where you have expressly authorised the

disclosure after being expressly informed that the recipient may not be required to protect your

information in a way that provides comparable safeguards. Our third party providers may be

located in Australia and the United States. This may change from time to time, and we will

update this Privacy Policy accordingly.



Credit checks and credit reporting


Credit accounts are available to businesses only, and credit checks are generally undertaken on

the applicant company. Information about a company is not personal information under the

Privacy Act 2020. Where the applicant is a sole trader, or we otherwise obtain credit information

about an individual, we will do so in accordance with the Credit Reporting Privacy Code 2020

and the authorisation contained in our account application or terms and conditions of trade.



Privacy breaches


If a privacy breach occurs that affects your personal information, we will assess and address it

promptly. Where the breach is a notifiable privacy breach under Part 6 of the Privacy Act 2020

(that is, a breach that has caused, or is likely to cause, serious harm), we will notify the Office of

the Privacy Commissioner and affected individuals as required by the Act.



Your rights


You have the right to request access to your personal information held by us and to request

corrections to your personal information. We will respond to your request as soon as practicable,

and in any event within 20 working days, as required by the Privacy Act 2020. We may need to

verify your identity before responding. If we do not agree to correct your personal information,

you may ask us to take reasonable steps to attach to that information a statement of the

correction sought, and where appropriate we will advise any third parties to whom we have

previously disclosed that information. To exercise your rights you can file a request by email to

privacy@coastgroup.co.nz. You can ask Coast Group to remove your personal data at any time,

however this may affect our ability to provide our services to you, and we may be required to

retain certain information for legal, accounting, dispute resolution, insurance, PPSR, health and

safety, fraud prevention or administration purposes. If you are not satisfied with our response to a

privacy concern, you may make a complaint to the Office of the Privacy Commissioner

(www.privacy.org.nz).



Unique identifiers


We may assign you a unique identifier, such as a customer or account number, where this is

necessary for the operation and administration of your account and the Services. We will not use

as our own identifier a unique identifier that has been assigned to you by another agency (such

as your driver licence number).



Cookies


Cookies are files with small amounts of data that is commonly used as an anonymous unique

identifier. These are sent to your browser from the Website and are stored on your device's hard

drive. Our Website uses “cookies” to collect information and to improve our Services for users.

Some cookies are used to generate statistics or to remember your preferences. We also use

third party analytics services, which set their own cookies, to help us understand how our

Website is used. The analytics tools we use include Google Analytics and Odoo. You have the

option to either accept or refuse these cookies and know when a cookie is being sent to your

device. If you choose to refuse our cookies, you may not be able to use all or some parts of our

Services.
